What to expect at Graduation

  1. Arrival & Gowning

      • Arrive at the time stated on your student graduation ticket.
      • You’ll be guided to the Gowning Room, where you’ll receive your graduation attire and be shown how to wear it correctly.
  2. Photography & Guest Entry

      • After gowning, you’ll line up to take individual professional graduation photos.
      • Due to space limitations, guests cannot join you during this process.
      • Guests will enter the lobby, show their tickets for scanning and receive a wristband to enter the auditorium once open for seating.
  3. Reuniting & Group Photos

      • Once you’re gowned and photographed, you can join your guests in the lobby for more photos.
      • You’ll participate in a group photo before entering the auditorium.
  4. Pre-Ceremony Briefing

    • Graduates will receive important instructions inside the auditorium, covering:
        • Seating allocation
        • Stage presentation & positioning for photos/videos
        • Entry and exit details
  5. The Graduation Ceremony

      • The ceremony will begin with speeches from dignitaries.
      • Certificates will be presented faculty by faculty.
      • Lucky door prizes will be drawn throughout the event.
  6. Post-Ceremony Photos

      • More professional group photos and videos will be taken after the ceremony.
      • Family and friends will have additional opportunities for professional photos.

Your graduation certificate will be issued upon successful completion and verification of your qualification. It will be sent to you via email, so there is no need to wait for the graduation ceremony to receive it. However, you will also receive an official certificate from the college during the graduation ceremony.

Graduation is by invitation only and will be open to all students in all faculties who have successfully completed a qualification with the college.  If you have received an invitation, you are eligible to attend. 

If you are studying a packaged course and have only completed one certificate, you are eligible to join the graduation for that completed qualification and will be eligible to attend every time you complete another qualification in your packaged course.

Please note

Students must have:

  • graduated with a verified certificate  issued by the College for each qualification no later than Friday, 2nd May 2025
  • registered and paid their Student Graduation fee by Friday, 9th May 2025
  • Your graduation invitation will be sent to both your college email and your personal email that has recorded in our system (please check your junk/spam folder).
  • If your email or contact details have recently changed, please notify us at graduation@vconsultancy.com.au
  • It is also important to notify our student support team of any changes/updates to your contact details. You can contact our team at: studentsupport@aibtglobal.edu.au

To be eligible to join this year’s Graduation Ceremony and receive an invitation, students must have:

  • graduated with a verified certificate issued by the College no later than Friday, 2nd May 2025
  • registered and paid their Student Graduation fee by Friday, 9th May 2025

No, if you and your guest are located in Australia, they do not need a Visa Invitation Letter. They still require a guest ticket to attend.

To update the number of guests after registration, please email us on graduation@vconsultancy.com.au

You will be required to pay $25 for each additional guest ticket.

Once you have registered and paid, your tickets will be emailed directly to the email address provided on the registration. Once you receive your guest attendance tickets, you may forward tickets to your guests.

  • Students registered for the afternoon session are required to arrive at 1:30pm for gowning, registration and professional photos

Morning Graduation Ceremony (All Locations)

9:00am to 1:00pm

    • Students are required to arrive at 9:00am for gowning, registration and professional photos. The ceremony will conclude by 1:00pm

 

Afternoon Graduation Ceremony (Sydney 24th July 2025)

1:30pm to 4:30pm

  • Students are required to arrive at 1:30pm for gowning, registration and professional photos. The ceremony will conclude by 4:30pm.

To be eligible for a refund, you must cancel your registration no later than Friday, 9th May 2025 by visiting the cancellation page on your graduation portal here by Friday, 9th May 2025.

Important notes:

  • you will not be refunded any bank charges or debit/credit card fees by either party
  • if you cancel your registration, you will not be able to attend your graduation and your guests will also not be able to attend. All tickets issued will become invalid.

If your guest is unable to attend, you can edit your registration by signing in to your graduation portal here. Click on the “Edit my registration” button and click edit under “Number of Guests”.

If any of your paid guests wish to cancel, you will receive a refund if you cancel by the cancellation cut-off date, Friday, 9th May 2025.

We cannot guarantee there will be available seats on the day of graduation. Each auditorium has strict attendance and seating rules, so please be prepared that we may not be able to allow any more guests.

No, you will be required to sit in the front of the auditorium with your graduating peers within your faculty so that you are in the correct order for the ceremony.

You will be able to join your family and friends after the ceremony and have an opportunity to take more photos.

We kindly ask you to respect your fellow graduating peers and wait until the ceremony has ended to leave so that it does not disrupt the photos and videos taken of other graduates during the ceremony.

We also advise you to stay so that you will be included in the graduation group photos which is lots of fun!

To be eligible for an invitation to this year’s Graduation Ceremony, all graduating students must have:

  • graduated with a verified certificate issued by the College no later than Friday, 2nd May 2025 
  • registered and paid their attendance fee by Friday, 9th May 2025.
You will automatically be registered for the most recent qualification you have successfully completed, provided you have received a verified certificate issued by the college by Friday, 2nd May 2025.

The colour of your stole will correspond to the faculty you are joining:

    • BLUE – Branson School of Business and Technology
    • YELLOW – Diana School of Community Services
    • GREEN – Edison School of Engineering Technology
    • RED – Sheldon School of Hospitality

For example, if you have completed a hospitality certificate and then followed by a business certificate, you will graduate under the Branson School of Business and Technology.

No, unfortunately, we must adhere to our strict certificate issuance cut-off date of Friday, 2nd May 2025.

If you have missed the cut-off date, you will be able to join our next Graduation Ceremony in 2026.

Yes, you can join if you register and pay the $110 student graduation fee by Friday, 9th May 2025. 

Please note:

  • you will be responsible for the cost of visa, flights, accommodation and transportation
  • we will not be responsible if your visa is not granted or if you cannot attend the graduation ceremony
  • if you cannot attend, you can apply for a refund before Friday, 9th May 2025, excluding any international bank transfer or debit/credit card fees

Yes, our professional photographers will be there to capture your special moment. All digital photographs will be provided at no extra cost and are included in the student graduation fee.

Please allow up to 4 weeks after your graduation for digital photos to be uploaded to the Graduation Registration Page. 

Unfortunately we will not be able to share any raw footage of photos or videos.

Please note, we will email students the link once all photos have been edited and uploaded.

Some venues may have a canteen with light snacks and drinks available for purchase.

Sydney – Yes, there is time-limited (55 spaces) underneath the venue. Free for up to 4 hours

Brisbane – Yes, there is ample Free car parking available

Hobart – No car parking available

Please allow enough time to organise your transportation to the venue.

If, for some reason, on the day of the graduation, you are unable to attend the ceremony, you or your guests will not be eligible for a refund. However, you will still be entitled to collect your graduation attire at the college campus until Friday 31st October 2025.

Please note that if your graduation gown is not collected by Friday 31st October 2025, it will no longer be available for you to collect. You will not be eligible for a refund.

Please read the following terms and conditions carefully.  

References to “us”, “we” and/or “our” in these terms and conditions shall mean VConsultancy and its participants, including participating RTOs (the Organisers).  

References to “student/s” in these terms and conditions shall mean invited students of the Graduation 2025 Ceremony.  These are students who have successfully completed studying with the college and have received their certificate(s) prior to Friday 2nd May 2025.

References to “venue” in these booking terms and conditions shall mean either the Brisbane Graduation location – SunPAC, the Sydney Graduation location – Bryan Brown Theatre & Function Centre, the Hobart Graduation location – Hobart Town Hall, or the Melbourne Graduation location – Port Melbourne Town Hall, or any other venue provided by the Organisers. 

By registering for and attending Graduation 2025, you agree to be bound by the terms and conditions set out below: 

GENERAL 

  1. To be eligible to join the graduation ceremony and receive an invitation, students must have:
    • graduated with a verified certificate issued by the College no later than Friday 2nd May 2025.
    • registered and paid their Student Graduation fee by Friday, 9th May 2025
  2. Students may make changes to their registration (e.g., change graduation gown size, number of guests) up until Friday 9th May 2025. Changes can be made via the graduation website:   https://mygraduation.events/  
  3. Students will be charged a $110 AUD graduation fee when registering for Graduation 2025, plus a payment processing fee of 1.7% + $0.30 AUD. This fee includes the student’s entry to the event, their graduation academic dress (i.e., gown, cap and stole), graduation pin, a hard copy of their Certificate of Completion, and access to download graduation video and digital files of photos taken during the event. All graduating students must register individually.  
  4. Students may invite guests to attend Graduation 2025. The attendance fee for each guest is $25 AUD (children three years and under are free, however they will be required to sit on an adult’s lap). Guests do not include other graduating students.  
  5. Registration and gowning will open 90 minutes prior to the graduation ceremony time. Students must ensure they allow enough time to get their gowns fitted. Gowning staff will assist students on the day to ensure they are wearing their academic dress correctly.  
  6. Students must be registered and wearing their academic dress 30 minutes prior to the start of the graduation ceremony, to be seated for a briefing.  

PRIVACY 

  1. Personal information supplied in connection with this booking will be held by us as a record of attendees. By registering for Graduation 2025, the student agrees that we may use that personal information to contact them by email, direct mail, and/or telephone in order to supply information relevant to this event or about other conferences, events and opportunities that we are planning, and feel may be of interest to them. 
  2. The Organisers are bound by the National Privacy Principles as set out in the Privacy Act 1988 (Cth) and the Privacy Amendment (Private Sector) Act 2000. 

 

CANCELLATION 

  1. Students wishing to cancel their attendance must do so via the Graduation website: https://mygraduation.events/  
  2. Should the student wish to cancel the registration of one/any/all of their guests, they must email us via graduation@vconsultancy.com.au.   
  3. We reserve the right to make alterations to the Graduation 2025 itinerary/programme, venue and timings at any time. In the event of it being found necessary, for whatever reason, that the event is to be postponed or the dates are to be changed, we shall not be liable for any expenditure, damage or loss incurred by the students. 
  4. Force Majeure: In the event that the event is cancelled by us or is postponed due to circumstances beyond our control, such as acts of God, war, acts of terrorism, government regulations, a pandemic as declared by the World Health Organisation, disaster, strikes, civil disorder, or curtailment of transportation facilities – to the extent that such circumstance makes it illegal or impossible for the venue facilities to be used, we will advise students in writing. We shall not be liable for any expenditure, damage or loss incurred by the students, such as but limited to; border closures, mandatory quarantine or lockdowns. 

 

REFUND POLICY 

  1. Students may be entitled to a refund should they wish to cancel their attendance and/or the attendance of their paid guests by Friday 9th May 2025. The student must have a valid reason for their cancellation. Students will be refunded the total amount of their attendance fee and any guests, minus any payment processing or debit/credit card fees.  
  2. Once the student’s registration has been cancelled, the student may be asked for additional information or supporting documentation during the refund process.  
  3. Refund applications will be accepted up until Friday 9th May 2025.  

 

LIABILITY 

  1. Neither we nor any of our related third parties accept any liability for any injury, damage, loss, delay, additional expense, or inconvenience caused directly or indirectly in relation to Graduation 2025. 

 

BEHAVIOUR POLICY 

  1. We reserve the right to prohibit entry of any person to Graduation 2025 or eject any person from the event based on behaviour deemed inappropriate by us, staff or others working under our authority. Students are expected to adhere to the college’s Student Code of Conduct.   

 

TRANSPORTATION 

  1. The student is solely responsible for their own travel arrangements to and from the Graduation 2025 venue.  

 

PHOTOS AND FILMING 

  1. For promotional purposes, photos and video recordings will be taken during Graduation 2025.  
  2. By accepting these terms and conditions, the student irrevocably authorises and grants us the right to:  
    • Record them (picture and voice) on photographs, film and/or video for audio and visual production 
    • Edit any photos and/or video recordings into a photo gallery/short film/webinar (which may include other recordings and material) 
    • Use their name, picture, video, voice or other information for edited photo and/or video recordings and materials 
    • The student hereby releases us from any infringement or violation of personal and/or property rights of any sort whatsoever based upon the use of any photos and/or video recordings.
    • The student acknowledges that we own and shall own all rights, title and interest (including copyright) in any photos and/or video recordings. 
    • The student warrants that we have full power to enter into this Release and that the terms of this Release do not in any way conflict with any existing commitment on the student’s part.
    • The student understands they will receive no money for any photos and/or video recordings. 

 

WEBSITE AND LINKS 

  1. Our websites may link to other websites and networking tools that are provided for the convenience of the users (i.e., WhatsApp). The contents of these websites are maintained by their owners, for which we take no responsibility.  

 

DISCLAIMER 

  1. We reserve the right at any time to change, amend, add or remove any of the above terms without prior notice. If one or more of the conditions outlined in these Terms & Conditions should be or become invalid, the remaining conditions will continue to be valid and apply.
  2. These Terms & Conditions apply to all participants of this event, including speakers, sponsors and exhibitors. In any case, neither VConsultancy nor any of its participants, employees, members or representatives shall be liable for any loss, liability, damage or expense suffered or incurred by any person.
